Lead Agentics (“we,” “our,” or “us”) is committed to protecting the privacy and security of the personal information entrusted to us by our clients, their customers, and visitors to our website. This Privacy Policy describes how we collect, use, store, share, and protect personal information in connection with the services we provide, including our AI-powered voice agents, appointment scheduling systems, CRM automation, and related communication platforms.

This policy has been drafted in compliance with the California Consumer Privacy Act of 2018, as amended by the California Privacy Rights Act of 2020 (collectively, “CCPA”), including the updated regulations adopted by the California Privacy Protection Agency effective January 1, 2026. Where other state or international privacy laws apply, we comply with those requirements as well.

By accessing our website at leadagentics.com or using any of our services, you acknowledge that you have read and understand this Privacy Policy. If you do not agree with the practices described herein, please do not use our services.

1. Information We Collect

1.1 Information You Provide Directly

When you interact with our services, you may provide us with the following categories of personal information:

  • Full name, email address, phone number, and business name submitted through contact forms, landing pages, or intake forms.
  • Appointment scheduling details, including preferred dates, times, and service requirements.
  • Payment information processed through our third-party payment providers.
  • Any information you voluntarily share during voice conversations with our AI agents, including Alex.
  • Communications sent to us via email, phone, or social media.

1.2 Information Collected Automatically

When you visit our website or interact with our services, we may automatically collect:

  • Device and browser information, including IP address, browser type, operating system, and device identifiers.
  • Usage data such as pages visited, time spent on pages, click patterns, and referral sources.
  • Cookies and similar tracking technologies as described in Section 8 of this policy.
  • Approximate geolocation data derived from your IP address.

1.3 Information from AI Voice Interactions

Our AI voice agents (including “Alex”) may collect and process the following during voice interactions:

  • Voice recordings and transcriptions of conversations for quality assurance and service delivery.
  • Call metadata including duration, timestamps, and call outcomes.
  • Lead qualification data gathered during conversations, such as budget, timeline, and decision-making authority.

1.4 Information from Third Parties

We may receive personal information from third-party sources, including advertising platforms (Google Ads, Meta, TikTok), CRM integrations, and referral partners, which we combine with information we collect directly.

1.5 Sensitive Personal Information

Lead Agentics does not intentionally collect sensitive personal information as defined under the CCPA, including Social Security numbers, financial account credentials, precise geolocation, racial or ethnic origin, religious beliefs, biometric data, health information, sexual orientation, or the contents of private communications (except voice recordings made with notice as part of our service). If sensitive personal information is inadvertently disclosed during an AI voice interaction, it is processed only to the extent necessary for service delivery and is not used for profiling or cross-context behavioral advertising.

Lead Agentics does not sell personal information as defined under the CCPA. We do not share personal information for cross-context behavioral advertising.

3. Categories of Personal Information Disclosed for Business Purposes

In the preceding 12 months, we have disclosed the following categories of personal information to service providers and contractors for business purposes:

All service providers and contractors are bound by written agreements that restrict their use of personal information to the specific business purposes for which it was disclosed and prohibit them from selling or sharing the information.

4. How We Use Your Information

We use the information we collect for the following business and commercial purposes:

  • To provide, operate, and improve our AI voice agent services, appointment scheduling, and CRM automation.
  • To place outbound calls, send SMS messages, and deliver email communications on behalf of our clients.
  • To qualify leads and schedule appointments within our Deal Flow AI system.
  • To send appointment confirmations, reminders, and follow-up communications.
  • To process no-show recovery sequences and re-engagement campaigns.
  • To facilitate review requests and referral programs on behalf of our clients.
  • To analyze call outcomes and pipeline data to improve service quality and conversion rates.
  • To detect, prevent, and address fraud, abuse, or security issues.
  • To comply with legal obligations and respond to lawful requests from authorities.
  • To operate and improve our website, including analytics and performance monitoring.

We do not use personal information for purposes materially different from those disclosed at the time of collection without providing you with additional notice.

5. Legal Basis for Processing

We process personal information under the following legal bases:

  • Contractual Necessity: Processing required to fulfill our service agreements with clients and their customers.
  • Legitimate Interests: Processing necessary for our legitimate business interests, including service improvement, fraud prevention, and marketing analytics, where such interests are not overridden by your rights.
  • Consent: Where you have given explicit consent, such as opting in to receive marketing communications or agreeing to voice recording during AI interactions.
  • Legal Obligation: Processing required to comply with applicable laws and regulations.

6. How We Share Your Information

We do not sell or share your personal information for cross-context behavioral advertising. We may disclose your information to the following categories of recipients for business purposes:

  • Service Providers and Contractors: Third-party platforms that support our services, including GoHighLevel (CRM and automation), Retell AI (voice agent technology), cloud hosting providers, and payment processors. These providers are contractually obligated to protect your data and use it only for the business purposes specified in our agreements.
  • Our Clients: If you interact with our AI agents as a customer of one of our clients, we share relevant lead and appointment information with that client as part of our service delivery.
  • Advertising Partners: Aggregated, de-identified data may be shared with advertising platforms for campaign performance analysis. No personally identifiable information is shared for this purpose.
  • Legal Authorities: We may disclose information when required by law, court order, or governmental regulation, or when we believe disclosure is necessary to protect our rights, your safety, or the safety of others.
  • Business Transfers: In the event of a merger, acquisition, or sale of assets, personal information may be transferred as part of the transaction. We will notify affected consumers of any material changes to how their information is used.

7. Automated Decision-Making Technology (ADMT)

Lead Agentics uses automated decision-making technology in the following contexts:

  • AI Voice Agents: Our AI agents (including Alex) conduct automated voice conversations, qualify leads based on predefined criteria (budget, timeline, authority), and book appointments without human intervention.
  • Lead Scoring and Routing: Inferences are drawn from interactions to score and prioritize leads within our pipeline.
  • Automated Follow-Up Sequencing: Our system determines the timing and content of follow-up communications (calls, SMS, email) based on lead behavior and response patterns.

These automated processes are used to facilitate appointment scheduling and lead management. They do not make decisions that produce legal effects or similarly significant effects on consumers, such as denial of financial services, employment, healthcare, housing, or education.

In compliance with the CCPA’s 2026 ADMT regulations, we are committed to providing pre-use notices, honoring opt-out requests, and providing access to meaningful information about the logic involved in automated processing upon verified request. 8. Cookies and Tracking Technologies

Our website uses cookies and similar technologies to enhance your browsing experience, analyze site traffic, and understand user behavior. The types of cookies we use include:

  • Essential Cookies: Required for the website to function properly, including session management and security features.
  • Analytics Cookies: Used to collect aggregated data about how visitors interact with our website, helping us improve site performance and content.
  • Marketing Cookies: Used to track visitors across websites to display relevant advertisements and measure campaign effectiveness.

9. Data Retention

We retain personal information only for as long as necessary to fulfill the purposes for which it was collected, including to satisfy legal, accounting, or reporting requirements. Specific retention periods are as follows:

  • Lead and appointment data: Retained for the duration of the client relationship plus 24 months, unless a longer retention period is required by law.
  • Voice recordings and transcriptions: Retained for up to 12 months for quality assurance purposes, unless a longer period is required for legal compliance.
  • Website analytics data: Retained for up to 26 months.
  • Communication logs (email and SMS): Retained for 12 months after the last interaction.
  • CCPA request records: Retained for 24 months as required by regulation.

Upon expiration of the applicable retention period, personal information is securely deleted or de-identified.

10. Your California Privacy Rights (CCPA/CPRA)

If you are a California resident, you have the following rights under the CCPA, as amended by the CPRA and updated regulations effective January 1, 2026:

Right to Know: You may request that we disclose the categories and specific pieces of personal information we have collected about you, the sources from which it was collected, the business or commercial purposes for collection, and the categories of third parties with whom it has been shared or disclosed.

Right to Delete: You may request that we delete the personal information we have collected about you, subject to certain legal exceptions (e.g., completing a transaction, detecting security incidents, complying with legal obligations).

Right to Correct: You may request that we correct inaccurate personal information we maintain about you.

Right to Opt-Out of Sale/Sharing: You have the right to direct us not to sell or share your personal information for cross-context behavioral advertising. Lead Agentics does not sell personal information. If this practice changes, we will provide a conspicuous “Do Not Sell or Share My Personal Information” link on our website.

Right to Limit Use of Sensitive Personal Information: You have the right to limit our use and disclosure of sensitive personal information to purposes necessary to perform our services. Lead Agentics does not use sensitive personal information for purposes beyond what is necessary for service delivery.

Right to Opt-Out of Automated Decision-Making: You may opt out of the use of automated decision-making technology for decisions that produce significant effects concerning you. See Section 7 for details on our ADMT use.

Right to Access Information About ADMT: You may request meaningful information about the logic involved in automated decision-making processes applied to your information.

Right to Non-Discrimination: We will not discriminate against you for exercising any of your CCPA rights. We will not deny you services, charge different prices, provide a different quality of service, or suggest that you will receive a different level of service for exercising your rights.

Right to Data Portability: You may request a copy of your personal information in a structured, commonly used, machine-readable format.

10.1 Submitting a Verifiable Consumer Request

To exercise any of the rights described above, you or your authorized agent may submit a verifiable consumer request by contacting us at:

We will verify your identity before processing your request. Verification may require you to provide sufficient information for us to match you with personal information we maintain. We may ask you to confirm your name, email address, and phone number associated with your interaction.

We will acknowledge receipt of your request within 10 business days and provide a substantive response within 45 calendar days. If additional time is needed, we will notify you of the extension and the reason, not to exceed an additional 45 days.

You may designate an authorized agent to submit requests on your behalf. Authorized agents must provide written authorization signed by the consumer or a valid power of attorney. We may still require the consumer to verify their identity directly.

10.2 Opt-Out Preference Signals

Lead Agentics honors opt-out preference signals, including the Global Privacy Control (GPC), as valid requests to opt out of the sale or sharing of personal information. When we detect a GPC signal from your browser, we will process it as an opt-out request and provide visible confirmation that your opt-out has been honored, as required by the 2026 CCPA regulations. No separate action is required on your part when using GPC.

10.3 Opt-Out Confirmation

In compliance with 2026 CCPA regulations, we provide a mechanism for you to confirm the status of any opt-out request you have submitted, including those submitted via opt-out preference signals. You may check the status of your request by contacting us at info@leadagentics.com.

10.4 Financial Incentives

Lead Agentics does not offer financial incentives or price or service differences related to the collection, retention, or sale of personal information.

11. Data Security

We implement appropriate technical and organizational measures to protect personal information against unauthorized access, alteration, disclosure, or destruction. These measures include:

  • Encryption of data in transit (TLS/SSL) and at rest.
  • Access controls and authentication mechanisms to restrict data access to authorized personnel.
  • Regular security assessments and vulnerability testing.
  • Secure webhook connections between integrated platforms (GoHighLevel, Retell AI).
  • Employee training on data protection and privacy best practices.
  • Incident response procedures for detecting and responding to potential data breaches.

While we take reasonable precautions to safeguard your data, no method of electronic storage or transmission is completely secure. We cannot guarantee absolute security. In the event of a data breach involving your personal information, we will notify you and the appropriate authorities as required by applicable law.

12. Children’s Privacy

Our services are not directed to individuals under the age of 16. We do not knowingly collect personal information from children. If we become aware that we have inadvertently collected personal information from a consumer under 16, we will take steps to delete such information promptly. For consumers under 16 years of age, the CCPA requires affirmative authorization (“opt-in”) before any sale or sharing of personal information. For consumers under 13, this opt-in must come from a parent or guardian.

13. International Data Transfers

Your personal information may be transferred to and processed in countries other than your country of residence, including the United States. Where such transfers occur, we implement appropriate safeguards to ensure your data is protected in accordance with applicable data protection laws, including standard contractual clauses or other approved transfer mechanisms.

14. Third-Party Links and Services

Our website and services may contain links to third-party websites or integrate with third-party platforms, including GoHighLevel, Retell AI, Google Ads, Meta, and TikTok. This Privacy Policy does not apply to those third parties. We encourage you to review the privacy policies of any third-party services you access through our platform.

15. Risk Assessments

In compliance with the 2026 CCPA regulations, Lead Agentics conducts privacy risk assessments before engaging in processing activities that present significant risk to consumers’ privacy, including the use of automated decision-making technology and processing of personal information for purposes beyond consumer expectations. Risk assessment documentation is maintained and available for submission to the California Privacy Protection Agency as required by regulation.

16. Changes to This Privacy Policy

We may update this Privacy Policy from time to time to reflect changes in our practices, technologies, or legal requirements. When we make material changes, we will update the “Effective Date” at the top of this policy and, where appropriate, provide notice through our website or by email. Your continued use of our services after the effective date of any changes constitutes your acceptance of the updated policy. We review and update this policy at least annually to ensure ongoing CCPA compliance.
